Red White & Blue Tax Services ("RWB," "we," "us") provides tax preparation, bookkeeping and accounting, and business advisory services from our offices in Coppell, Texas and New York, and virtually nationwide. This policy describes how we collect, use, and protect information across our website (rwbtax.us), our client services, and our internal bookkeeping software, RWB Books.

Information we collect

• Client engagement information. Documents and records you provide in the course of an engagement, including tax documents, financial records, payroll and banking information, and contact details.
• Website information. Information you submit through our contact forms, and standard technical information sent by your browser (such as IP address and pages visited) in ordinary server logs.
• Accounting data from authorized connections. Financial records we access from your accounting systems with your explicit authorization, described below.

QuickBooks Online integration

With your explicit authorization, granted through Intuit's own consent process, our internal software (RWB Books) connects to your QuickBooks Online company to access your accounting records, such as your chart of accounts, transactions, and financial reports. This access is read-only and is used solely to perform the services you have engaged us for.

How we protect this data:

• It is stored in systems controlled by our firm and hosted in the United States.
• It is encrypted in transit, and our backups are encrypted.
• Original records are preserved unaltered, with cryptographic integrity checks, so our work remains fully traceable to its source.
• Access is limited to authorized firm personnel, and administrative accounts are protected with multi-factor authentication.

We never sell or rent your accounting data, and we do not share it with third parties for their own marketing. We share data only with service providers who process it on our behalf under confidentiality obligations, or when required by law.

You stay in control. You may disconnect RWB Books from your QuickBooks company at any time from QuickBooks ("My Apps"), or by contacting us at books@rwbtax.us. After disconnection we no longer access your QuickBooks data; records already obtained are retained only as described below.

Data retention

We retain client records as long as needed to perform our services and as required by law, including tax-preparer record-keeping obligations. When retention is no longer required, records are securely deleted.

Your choices

You may contact us at any time to ask what information we hold about you, request corrections, or request deletion, subject to our legal retention obligations.

Children

Our website and services are not directed to children under 13, and we do not knowingly collect information from them.

Changes to this policy

If we make material changes, we will update this page and its effective date.
